Job description
As the Office & Facility Manager at Armada Music UK, you’ll be the heartbeat of our London office—keeping the space running smoothly, stocked up, and full of good energy. From managing suppliers and sorting out facilities issues, to booking travel for the team and planning in-house events, you’ll make sure everything works and everyone feels welcome. You’ll be the go-to person for day-to-day needs, quick fixes, and big moments alike. You’ll also partner with our Head of Events in Amsterdam to bring our event space to life. This role is perfect for someone who loves variety, takes pride in their space, and thrives in a creative, music-led environment.
Your responsibilities:
You’ll stay on top of everything that keeps the building humming—coordinating with suppliers for cleaning, catering, furniture, security, and all the essentials. You’ll be the friendly go-to for the team when something needs fixing or sorting, and the welcoming face for anyone walking through the door. From managing service quality to keeping deadlines on track, you’ll make sure everything runs smoothly behind the scenes.
Your tasks will include but not be limited to:
Welcoming guests in a friendly and professional manner, working at the reception desk when guests are expected and in some cases for events.
Managing all calls, messages and post.
Ordering food & beverages, office supplies and other ad-hoc orders.
Coordinating maintenance of the building and being a point of contact for the cleaning supplier.
Coordinating, managing and stuffing of all in-house events; ensuring the smooth running of these events.
Booking travel, making all necessary arrangements and managing internal processes for travel logging.
Managing budget and contracts of external services.
Onboarding new staff in collaboration with HR.
Assisting the General Manager with day-to-day diary management and requests.
Job requirements
Your experience:
You have obtained a college/Bachelor degree;
You preferably have 1-3 years of experience in office management role;
You have good understanding of the product range, service and delivery conditions and contract forms;
You are proactive, have hands on mentality and are not afraid to take initiative;
You communicate positive attitude both internally and externally;
You are flexible and do not have 9-5 mentality;
You are fluent in English.
