As the Office & Facilities Manager at Armada Music UK, you'll be the heartbeat of our London office. You'll take ownership of the workplace experience, keeping our space running smoothly, efficiently and to a high standard. From managing facilities and workplace services to coordinating travel, suppliers and internal events, you'll ensure the infrastructure behind the business operates seamlessly.

You'll play a key role in creating a workplace that feels welcoming, professional and energetic, balancing operational excellence with the culture and personality that make our office a great place to work.

Your responsibilities:

 
You'll take ownership of the day-to-day operation of our office and workplace, ensuring the building, facilities, suppliers and services are managed to a consistently high standard.

You'll oversee facilities and workplace services, travel coordination, onboarding logistics, supplier relationships and in-house events, resolving issues efficiently and proactively identifying opportunities to improve the way the office operates.

You'll act as a trusted point of contact for employees, visitors and external partners, delivering a professional and welcoming experience while managing multiple priorities and projects effectively. 
 

Your tasks will include but not be limited to: 

  • Overseeing the day-to-day operation of the office, coordinating building maintenance and acting as the key point of contact for cleaning, catering, security, furniture, maintenance and other facilities suppliers.

  • Managing relationships with external suppliers and contractors, ensuring agreed service levels are maintained, issues are resolved promptly and work is delivered to the required standard and within agreed timeframes.

  • Coordinating building management systems and ensuring the office meets relevant health, safety, fire, security and workplace requirements, working with internal management and external specialists where required.

  • Planning, coordinating and staffing in-house events and larger workplace projects, taking ownership of logistics, suppliers, timelines and on-the-day delivery to ensure a seamless experience.

  • Managing the ordering and supply of food and beverages, office supplies, furniture and other workplace requirements, ensuring the office is appropriately stocked and operational.

  • Coordinating business travel arrangements, ensuring all necessary bookings and logistics are managed efficiently and maintaining accurate internal travel records and processes.

  • Welcoming guests in a friendly and professional manner, overseeing reception when required and ensuring visitors receive a high-quality experience, particularly during meetings and events.

  • Managing calls, messages, post and other office administration, ensuring day-to-day requests are handled efficiently and professionally.

  • Coordinating the office and facilities elements of new-starter onboarding in collaboration with HR and the General Manager, ensuring new employees have everything they need from day one.

  • Supporting the General Manager with selected diary management, administration and operational requests where required.

  • Proactively identifying opportunities to improve our workplace, processes and employee experience, taking ownership of initiatives from idea through to implementation.

  • This role is office-based, five days per week, with working hours of 8:30am to 5:00pm.

Job requirements

 
Your experience:

  • You have obtained a college diploma or bachelor's degree;

  • You have 3-5 years of experience in office management;

  • You have a strong understanding of workplace services, facilities management, supplier relationships and service delivery.

  • You are proactive, have a hands-on mentality and are not afraid to take initiative;

  • You communicate with a positive attitude both internally and externally;

  • You are flexible and willing to support occasional activity outside normal office hours when required.

  • You are fluent in English.
