What will you be doing?
As the Administrative Assistant you will be part of the new BEAT Music Fund team of Armada. Your main goal is to support and relieve the team in the broadest way, in all their day to day activities. You like to switch quickly between different activities and you love the dynamics of a hectic and demanding environment where you keep the overview at all times. Accurate contract administration is your top priority, so you call upon the power of the ancients to meet deadlines, correspond in a timely fashion and make sure our new acquired rights will be registered in our database. You keep an accurate overview and manage all catalog agreements concluded by BEAT Music Fund. You will also process the financial contract data, making you the glue that holds various departments together. Among other challenges, you will:
• Administrative support to the COO of BEAT Music Fund
• Screening and managing the mailbox of BEAT Music Fund
• Handling incoming and outgoing email pro-active, handling incoming mail
• Agenda management and making appointments
• Planning, organizing and taking minutes of meetings and preparing or optimize materials
• Prepare meetings by suppling the stakeholders with the right information
• Track and file important documents, contracts and other company information
• Keep track of the terms and expiration dates of licenses and deals.
• Return the (signed) deals of acquired catalogs to all relevant parties
• Administrate and archive the deals/agreements
• Take care of the catalog administration and data base
• Handle (and code) invoices together with the Finance department
• Organize events or team outings
• Organizing business travels, flights, hotels, diners, transportation and all other travel related matters
You’ve acquired a relevant bachelor degree;
You have ¬1-2 years of experience in an administrative support role (preferably known with contract management);
You are punctual, organized and efficient when it comes to creating schedules and plans;
You are creative and a real team player;
You are a natural multitasker and used to working with strict deadlines;
You are decisive and a problem solver;
You are on top of – and an active user of – all forms of music consumption and social media (and its most recent developments);
You are (near) fluent in written and spoken English;
Bonus points for prior experience or education in a legal environment.
